The mission of Behavioral Treatment Services is to provide
provide accessible, integrated, and inclusive behavioral health services supporting clients throughout the criminal justice system. Behavioral Treatment Services provides a continuum of specialized adult offender substance abuse and other treatment modalities. Being a part of the BTS team means being a part of the forefront of Colorado’s behavioral health and criminal justice programs and initiatives. Our goals are to provide a space toward client healing, reduce criminal recidivism, assist clients in working towards personal growth, and collaborate with the system and client to work towards mutually agreeable goals.

BTS provides clinical services, court related services, and specialized programs for adults involved in the criminal justice system. BTS provides services at community corrections sites (including residential treatment programs), outpatient locations, jail based, and court liaison programs in 9 counties across Colorado.

Intake/Office Support Specialist coordinates and completes a variety of administrative tasks related to client referrals and billing for the Short Term Intensive Residential Remediation Treatment (STIRRT) program.

Title: Intake/Office Support Specialist
Location: Lakewood, CO
Hours: Full Time M-F
Salary: $55,016 annually 

Essential Duties and Responsibilities:

  • Support, promote and adhere to the mission, values and Code of Conduct of Intervention Inc.

  • Maintain confidentiality of client and company information
  • Carry out all duties/responsibilities in accordance with Company values, policies and procedures, applicable laws and contractual obligations  
  • Checks, maintains and tracks client referrals to the STIRT program, ensuring accuracy of information 
  • Compares client referrals to STIRT eligibility criteria and determines initial program eligibility  
  • Staffs questionable eligibility claims with Clinical Supervisor, Manager, and Director as appropriate 
  • Communicates with referral sources and clients as appropriate regarding status to enter STIRT program 
  • Maintains waitlist for STIRT program 
  • Enters STIRT referrals and intakes into electronic databases 
  • Assists with data tracking and compliance for Signal 
  • Maintains stakeholder relationships to assist with filling all residential beds with program appropriate clients 
  • Assists with STIRT billing processes 
  • Works in collaboration with Office Assistant to check compliance with Medicaid procedures 
  • Prepares and submits claims timely and accurately to Medicaid and third-party insurance carriers either electronically or by hard copy billing 
  • Collects and tracks Medicaid client fees in Reliatrax and other areas as directed 
  • Assists with the process of Collections (ability to contact clients, and ensuring all paperwork is completed and processed properly) 
  • Follows-up with payors and clients on outstanding balances 
  • Assists with grant billing and reporting 
  • Politely and professionally answers phone and provide basic screening of all calls, records or transfers as appropriated 
  • Maintains accurate and timely program statistical data to meet reporting requirements. Enters data and generates reports 
  • Assists with Accounts Payable and bank reconciliations 
  • Verify accuracy of billing data and revise any errors
  • Prepare itemized statements, bills, or invoices and record amounts due for services
  • Perform bookkeeping work, including posting data or keeping other records concerning client fees, billing, and payments 
  • Completes general administrative tasks as required or requested by management 
  • Attend required trainings and meetings, apply skills and knowledge
  • Regular and predictable attendance
  • Good steward of Company human, financial and capital resources 
  • Participate effectively as a team member through communication, cooperation, information sharing and problem solving
  • Any other tasks or duties as assigned

  • Demonstrates competency in accordance with the 12 core counseling functions defined by the National Association of Alcohol and Drug Abuse Counselors.

Minimum Qualifications:

  • Master’s degree in social work, psychology, counseling, or related field;
  • Active registration in DORA;
  • Related experience and/or training in an office environment with demonstrated experience in basic accounting and/or insurance billing. 
  • Experience maintaining accurate alphanumeric records, accounts and files 

Preferred Qualifications:

  • Familiarity with principles and practices related to medical or mental health clinic planning, records management and general administration 
  • Excellent interpersonal communication and customer service skills 
  • Ability to use word processing, spreadsheet software, financial software and databases to input information, maintain client and program data, create documents and communications, and generate reports 
  • Excellent interpersonal communication skills, especially with people experiencing crisis 
  • Ability to operate standard office equipment, including but not limited to, computers, telephone systems, calculators, copiers and fax machines 
  • Ability to communicate effectively both verbally and in writing 
  • Ability to remain calm in stressful situations 
  • Knowledge of the cultural and socioeconomic characteristics and appropriate techniques and practices for the client population 
  • Ability to interact effectively as a team member and independently with Company staff, stakeholders, and with diverse client base
  • Must pass background check and have ability to access state criminal databases
